Project Coordinator (PMO) / Scheduler | 12 months | State Government | Hybrid working arrangements

 

 

Talent Street is looking for a Project Coordinator / Scheduler for a large State government organisation.

 

Contract duration: 12 months (until June 2025)
Location: Melbourne, VIC

 

Role Purpose:

The PMO Coordinator reports to the Program Director and plays a crucial role in supporting various facets of project management. This includes overseeing project reporting, crafting briefings for both internal and external stakeholders, and managing decisions along with financial and operational components.

Collaboration is key for the PMO Coordinator, who closely engages with project team members and a diverse range of stakeholders, both internal and external. This collaborative effort is essential in ensuring the smooth and effective administration and execution of project processes. The role demands adeptness in communication, software and technology utilisation, and necessitates the ability to work autonomously, showcasing initiative and determination in attaining project objectives.

 

Responsibilities:

 

  • Assist in the development of project plans. This includes maintaining a project schedule and monitoring project progress against essential project metrics, including schedule, budget, resource allocation and risks.

 

  • Assisting in the creation and upkeep of project documentation, including registers, logs and templates, throughout the project's lifecycle. Ensuring they meet established quality standards and facilitate effective governance and audit compliance.

 

  • Providing support to the projects governing bodies. This involves preparing and distributing reports, agendas, minutes, and presentation materials before and after each meeting.

 

  • Analysing, compiling and documenting critical project data and their corresponding strategies for mitigation and resolution. This support is directed towards the Program Director, Project Manager, Business Owner, and Senior Executives.

 

  • Coordinating and executing all procurement requests and administrative processes for the project, including the maintenance of procurement contracts, purchase orders, invoices and payments and paying invoices.

 

  • Assist in resource allocation and ensuring that the project teams have the necessary tools, support and access to applications.
  • Assist in the development and implementation of project management methodologies and processes, especially in an Agile or Hybrid delivery environment.

 

  • Support the Program Director and Project Manager with facilitating meetings, workshops and presentations and maintaining task and action logs for each meeting.

 

  • Prepare high-quality briefings as needed by the Program Director and Project Manager.

 

  • Overseeing PMO governance procedures such as the project change request (PCR) process and maintaining document standards.

 

  • Coordinate and execute activities to onboard and offboard Project Team members.

 

  • Oversee the project mailbox and respond to emails in a timely manner.

 

  • Cultivating and sustaining robust, cooperative, and fruitful working relationships with members of the program's cross-functional team and other stakeholders. To practice cultural safety by creating environments, relationships and systems free from racism and discrimination so that people can feel safe, valued and able to participate.

 

 

Requirements:

  • A minimum of 5 years of proven experience as a PMO Coordinator or Operations Officer within intricate, multi-vendor environments (mandatory).
  • Proficiency in utilising Confluence and Jira, coupled with an advanced proficiency in Excel, Word, MS Project, and PowerPoint.
  • Extensive expertise in Agile/Scrum project delivery methodologies.
  • Demonstrated track record in creating and sustaining crucial project documents.
